Exhibitor Function Space Request Guidelines
If a company would like to hold a meeting or social function while in San Diego, you must be a contracted exhibitor and arrangements must be made through the AANS Meetings Department. Complete and submit the online Request for Function Space form to request space for a meeting or social event in San Diego. A request form will need to be submitted for each meeting or event your company wants to schedule.
Function space is not available at the convention center; however, expo suites will be available on the Exhibit Floor. Contact Kim Schrader, AANS exhibits manager, at firstname.lastname@example.org for more information on expo suites.
Ancillary meeting space is available only at the venues and hotels where the AANS has contracted space. The AANS must approve all meetings and social events held during the 2019 AANS Annual Scientific Meeting, even if it is held at an alternate hotel or restaurant. Once approved, the group will be able to work directly with the hotel or venue. All meeting space requests at the Marriott Marquis San Diego Marina, the AANS Headquarters Hotel, located at 333 West Harbor Drive will be assigned on a first-come basis. Room assignments and further details will be confirmed in mid-February. Fees may apply. The Marriott Marquis San Diego Marina is adjacent to the San Diego Convention Center. When deciding on the timing of your function, please allow an average of 15-20 minutes walking time between the hotel and the convention center.
The deadline for receipt of your Request for Function Space form is Friday, Jan. 4, 2019. Requests received after Jan. 4, 2019 will be on a space-available basis. Direct all questions to Sue Christiansen at email@example.com or 847.378.0536.
The AANS prohibits the scheduling of events at times that conflict with the Scientific Program or any official AANS social function. Below is a list of the approved dates and times for affiliate functions and the link to the Marriott catering menus.
Friday, April 12, 2019: All Day
Saturday, April 13, 2019: All Day
Sunday, April 14, 2019: Prior to 8:30 a.m.
Monday, April 15, 2019: Prior to 7 a.m./After 6 p.m.
Tuesday, April 16, 2019: Prior to 7 a.m./After 6 p.m.
Wednesday, April 17, 2019: Prior to 7 a.m./After 5 p.m.
